Privacy Policy

This Privacy Policy describes how Monetary Prestige Solutions ("MPS", "we", "us") collects, uses, shares, and protects information when you use our website, client portal, and services. MPS is based in El Paso, Texas.

1. Information we collect

  • Account information: name, email, phone, business name.
  • Financial information: tax documents, bookkeeping records, invoices, and data synced from QuickBooks Online when you connect your account.
  • Uploaded documents: files you place in the document vault or submit to client requests.
  • Usage data: log data, IP address, browser/device information, and audit events (e.g. document views and downloads).
  • Communications: messages, support requests, and emails you send us.

2. How we use information

  • To deliver the services described in your engagement letter.
  • To operate, secure, and improve the portal and our services.
  • To send service messages, monthly recaps, and required notices.
  • To comply with legal, tax, and regulatory obligations.

We do not sell your personal information.

3. Intuit / QuickBooks Online data

When you connect QuickBooks Online ("QBO") through Intuit's OAuth 2.0 flow, MPS receives an access token, refresh token, and your QBO company ID (realmId), along with read access to accounting data under the com.intuit.quickbooks.accounting scope. This includes customers, vendors, accounts, invoices, bills, expenses, payments, journal entries, and the standard financial reports (Profit & Loss, Balance Sheet, Cash Flow).

How we use Intuit data: solely to provide the bookkeeping, reporting, advisory, and tax services described in your engagement letter — for example, populating your dashboard, generating monthly close packages, and preparing filings. We do not sell Intuit data, we do not share it with advertisers, and we do not use it to train machine-learning models.

How we store it: OAuth tokens are stored encrypted at rest in our database and are accessible only to the MPS service account and your assigned advisor. Synced QBO records are protected by row-level security so only you and authorized MPS staff can read them. We also subscribe to Intuit webhooks so changes you make in QuickBooks stay in sync with the portal automatically.

How to disconnect: you may revoke MPS's access at any time from /portal/quickbooks using the Disconnect button, or from your Intuit account at appcenter.intuit.com. On disconnect we delete the stored tokens immediately and stop pulling new data. You may also request deletion of previously synced records by emailing the address in Section 11; we will honor the request unless retention is required by tax or accounting regulations.

Your use of QuickBooks Online itself is governed by Intuit's own privacy statement and terms.

4. How we share information

We share information only with:

  • Service providers that host, secure, or operate our infrastructure (e.g. our cloud database, email delivery, and document storage providers), under confidentiality obligations.
  • Intuit, to authenticate your QuickBooks connection and receive accounting data you authorize.
  • Government authorities or other parties when required by law or to protect rights, property, or safety.

5. Security

We use industry-standard safeguards including TLS in transit, encryption at rest for sensitive tokens, role-based access controls, row-level security on our database, and audit logging of document access. No system is perfectly secure; you are responsible for safeguarding your credentials.

6. Data retention

We retain client records for the period required by applicable tax, accounting, and insurance regulations (generally seven years) and for the duration of our engagement, after which we delete or anonymize data unless retention is required by law.

7. Your rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or export your personal information, or to object to certain processing. To exercise these rights, contact us at the address below. We will respond within the time required by applicable law.

8. Cookies

The portal uses strictly necessary cookies for authentication and session management. We do not use third-party advertising cookies.

9. Children

The Services are not directed to children under 13, and we do not knowingly collect their data.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be posted here with a new effective date.
